Maintain Maintenance

Make regular checks of your property to keep on top of maintenance. Tenants are more likely to look after a property that is in good condition. If tenants report a repair, ensure you respond within a reasonable time frame and keep them in the loop of what’s happening.

Leaving small issues to fester may mean they worsen over time. Avoid larger repairs and costs by being proactive when it comes to maintenance.


Familiarise With Finances

Make time to check through your finances, ensuring the rent has reached your account in full and on time. Working with your tenant is also important. If they are struggling, can you offer a payment plan? This keeps funds flowing while providing much-needed support.

It is also important to have a clear agreement. Above all, be approachable. You don’t want the relationship to break down.

When managing a property you need to be very organised. It’s therefore a good idea to get a thorough process in place from the start. Make a list of all your requirements and set up reminders for all important dates, so you are always up to date with your obligations.

These include rent due dates, gas and electric certificates, building and landlord insurance — and much more besides.

  • Negotiating terms with prospective tenants, drawing up a comprehensive tenancy agreement, and organising contract signings

  • Full tenant (and guarantor where applicable) reference checks, including credit score and history, previous landlord, and employment status

  • Arrange any pre-tenancy works if required (such as gas safety certificate, energy performance certificate, professional clean etc)

  • Book an independent inventory inspection, check in and check out

  • Collect the first month’s rent and five week’s rent security deposit from tenant before move in

  • Provide tenants with point of contact details for any maintenance queries and confirm rent payment method

  • Arrange tenancy renewal, including contract and rent negotiation, plus amending and updating terms on a new tenancy agreement

  • Prepare and serve a Section 21 Notice or Notice to Quit to bring your residents’ tenancy to an end

  • Holding of keys throughout tenancy period at no additional cost

  • Keep landlords regularly updated with any changes to legislation

  • Collect monthly rent and issue rental statements

  • Supply year-end rental income and outgoings reports to landlords for tax purposes

  • Act as tenants’ point of contact for any maintenance or emergency queries

  • Organise and instruct repairs, maintenance and refurbishments with our approved independent contractors

  • Carry out six-monthly property inspections and provide a report (including photos) of our findings

  • Deal with return of deposit and advise on any deductions where necessary

  • Continue to manage property at no extra cost while we work to find out a new tenant
